We are hiring an organized and proactive Admin Support Specialist to help streamline operations and ensure customer satisfaction. You will manage key backend tasks including building approvals, coordination of portable delivery/installations, and consistent customer updates. This role is critical to maintaining smooth day-to-day operations.
Coordinate and track building approval processes for portable buildings
Manage delivery and installation scheduling with customers and suppliers
Communicate updates and next steps to customers through phone, email, and text
Answer incoming calls through a digital phone number during working hours
Support customer service workflows through CRM (Fusion AMS Pro)
Escalate issues or delays promptly to the operations team
Maintain records and documentation related to each project
2+ years of admin or operations support experience (logistics/scheduling a plus)
Strong written and verbal communication skills in English
Comfortable answering phones and speaking with customers
Tech-savvy and able to learn new systems (Fusion AMS Pro training provided)
Detail-oriented, organized, and dependable
Must be comfortable working AEST (Australian) Hours
Experience handling multiple admin tasks simultaneously
