The Prince George’s County Department of The Environment is currently seeking qualified applicants to fill an Administrative Aide (Administrative Aide 3A) grade A17 position in the Sustainable Waste Management Division.

About the Position
This is a highly responsible and advanced secretarial/administrative work designed to relieve an important official of administrative detail.  Under general supervision, the incumbent performs varied and responsible administrative, secretarial, and operational support duties related to the daily functions of the Section. Work performance is evaluated in terms of accuracy and the timely completion of assignments and projects.  

About the Agency
The Department of the Environment works for a healthy, beautiful and sustainable County through programs that provide clean water, flood control, recycling and waste management, litter prevention, sustainable animal management and pet adoption in partnership with residents and other stakeholders. Some of our core services include providing clean water services (Stormwater Management Division); flooding prevention for buildings and structures (Sustainability Division and Stormwater Management Division); collecting, processing and diverting waste from the County-operated landfill, commercial facilities and householders (Resource Recovery Division); providing sustainability services to reduce greenhouse gas and emission (Sustainability Division); and facilitating pet adoptions, managing an animal holding facility, issuing pet licenses, investigating cruelty complaints and conducting humane outreach and education events (Animal Services Division).          

Examples of Work

  • Assist the Section Manager with the administrative duties of the Section. Also provide administrative support to the overall Division.
  • Utilize the computer and/or other automated equipment in generating memoranda, letters, reports and other related documents. 
  • Independently determine and prioritize assignments to ensure deadlines are met.  
  • Maintain knowledge of various software used in job performance.
  • Utilize the Electronic Timesheet System, manages Section timesheets and checks for proper hours, codes, overtime reports, signatures and leave requests.
  • Maintain office accounts, including periodic reports of expenditures (i.e. drawn down schedules), arrange for travel and accommodations, submit forms related to travel, and perform purchasing functions such as ordering supplies, reviewing SAP vendors’ list for in-County based businesses, obtaining quotes, preparing purchase orders and credit card requests, and using County issued purchasing card (p-card) to make approved purchases.  
  • Processe invoices for payment.
  • Assist the Section Manager in maintaining an appointment calendar and coordinate appointment dates, and times with various attendees ensuring appointment compatibility and reserves conference room.
  • Maintain working knowledge of Division files and retention schedules to facilitate accurate filing of Section and/or Division materials and mandatory regulatory compliance records.
  • Use approved and courteous telephone techniques in answering incoming telephone calls. 
  • Receive and greet visitors.
  • Willingly, cooperatively and dependably perform tasks which may not be specifically in this position description, but which are typically within the general occupational level associated with this class.

Qualifications


Minimum Qualifications

  • Associates degree from an accredited College or University in Business Administration or Secretarial Science.

  • Successful completion of probationary period of nine (9) months at the Administrative Aide II level; or one (1) year of advanced diverse and/or technical clerical experience which involved working with the public, office management and operational details.

An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.


Preferred Qualifications
  • At least three (3) years of serving in a role that required coordination and communication with multiple sections within a large agency or organization.
  • Ability to take initiative and exercise sound judgment.
  • Ability to communicate clearly, concisely, and effectively; listen effectively and share information.
  • Ability to manage competing priorities in a fast-paced environment, while quickly adapting to changing priorities with professional composure and demeanor.
  • Ability to address inquiries in a responsive and thorough manner, with a willingness to ensure that all necessary information has been obtained and to ask any follow-up questions that may be necessary.
  • Ability to foster and approach tasks with a team-focused mentality and the ability to successfully and fruitfully engage with coworkers with a wide variety of work styles and skill sets.
  • Strong attention-to-detail and organizational skills.
  • Demonstrated ability to be flexible and adaptable to change.
  • Advanced experience with Microsoft 365 Office applications, including proven strength in the use of spreadsheets, database and presentation applications, including Microsoft Excel, Word, Outlook and PowerPoint and One Drive and SharePoint.

  • Pass an administered Administrative Aide exam. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.
  • Meet all training and performance standards and demonstrate proficiency as required by the agency.
  • Wear and use agency protective apparel and equipment in the performance of their assigned duties. 
  • Possess and maintain a valid driver's license.
