The Opportunity

WSDOT is seeking a motivated and detail-oriented Administrative Assistant 2 to join our team in Chehalis, WA. In this vital role, you will serve as the administrative backbone of a busy Area Engineer Office, providing essential support to approximately 20 staff members who help deliver transportation projects that keep Washington moving safely and efficiently. Your organizational skills, attention to detail, and commitment to customer service will help ensure daily operations run smoothly and effectively.


As a key member of the team, you will perform a variety of administrative and fiscal functions, including timekeeping, purchasing office supplies and materials, processing invoices and payments using P-Cards and vouchers, and maintaining records through multiple software systems. This position offers an excellent opportunity to contribute to meaningful transportation work while collaborating with a dedicated team in a fast-paced and rewarding environment.


What to Expect

Among the varied range of responsibilities held within this role, the Administrative Assistant 2 will:

  • Utilize WSDOT mainframe programs for payment including, but not limited to, TRAINS, and PCMS to process P card invoices 
  • Create payment and journal vouchers in TRAINS to make payments. 
  • Learn and utilize new software which replaces legacy systems. 
  • Maintain records and inventories. 
  • Proofread letters and memos making corrections for sentence structure, spelling, grammar, and punctuation that will be shared outside of WSDOT. 
  • Answer telephones, receive, screen and refer visitors. 
  • Assist hiring managers with recruitments.
  • Prepare agendas, minutes and correspondence for meetings. 
  • Order office supplies, construction supplies/tools, Personal Protective Equipment (PPE), as needed. 
  • Assist with onboarding new employee hires. 
  • Coordinate vehicle assignments.

Qualifications

To be considered for this opportunity, the following competencies are required:

  • Interpersonal and Communication Skills: Ability to communicate clearly and professionally in writing and verbally across a wide range of audiences, including internal stakeholders, contractors, and the public. 
  • Technical Proficiency: Intermediate skills in operating Windows-based computers and software, such as MS Office Suite; virtual meeting software, such as MS Teams; and Cloud computing. Intermediate skills to create, draft, proofread, and edit professional documents accurately. 
  • Problem-solving and independent judgment: Experience in prioritizing workload, managing multiple tasks, adapting to schedule changes or emergencies, and independently resolving issues using sound judgment.
  • Administrative and Operational Knowledge: Experience performing complex office, clerical, bookkeeping, accounting and/or administrative tasks with minimal supervision, including preparing correspondence, organizing files, managing schedules, and maintaining confidentiality. Ability to prioritize and organize conflicting demands and meet deadlines under pressure. 
  • Growth Mindset: Actively demonstrates a commitment to learning and growth. 
  • Service-Oriented: Takes action to meet the needs of others.


The following qualifications are also required: 

Ability to maneuver and transport various materials and/or equipment weighing up to 20 pounds. 

It is preferred that qualified candidates also demonstrate:

  • Fiscal & Administrative Knowledge: Knowledge in timekeeping, travel coordination, accounting, and purchasing to support daily business operations. 
  • System Proficiency: Knowledge and proficiency in payroll and accounting systems such as PCMS, TRAINS, and DOTtime to process and track transactions.

  • In addition to the salary range listed, a general wage increase of 2% will be applied for all state employees on July 1, 2026.
