Job Title: Administrative Assistant 3 (AA3) 
Location: Everett, WA - This is a full-time/hybrid position. Work will be completed at home and in the Licensing Office.

Salary: $3,925 - $5,271 Monthly

We're looking for an enthusiastic and driven Administrative Assistant 3 to join our team to support us in performing a wide variety of complex secretarial and administrative duties.

The Opportunity:
As the Administrative Assistant 3, of this position, you will support the Child Care Licensing Area Administrator, and the regional Child Care Licensing offices, including regional and statewide administrative projects.

Some of what you will get to do:
  • Provide follow up to assignments given to supervisory or licensing staff by the AA, and/or Child Care Deputy Senior Administrator.
  • Receive and screen communications, including telephone calls and e-mail messages to the AA and the region. 
  • Maintain appointment schedules and calendars for the AA as necessary; arrange meetings and conferences for the region or as requested.
  • Attend and travel to regional leadership team meetings with licensing supervisors and other meetings as assigned; take minutes as directed by the AA. 
  • Establish procedures for and interpret and apply administrative policies to the work of the region. 
  • Research and analyze routine administrative projects for the AA, and the region; prepare the first draft reports on routine administrative matters.
  • Coordinate technology for the region and disseminates information to achieve efficient use of technology to support licensing operations; troubleshoots technical difficulties or errors.
  • Process all incoming applications for Child Care Centers, School Age Programs, Outdoor Nature Based (ONB) Programs and Family Home Child Care Homes. Fire and Health inspections for Child Care Centers, School Age Programs, and applicable ONB programs. 
  • Create and maintain licensing information for all licensed Family Child Care Homes, Child Care Centers, and School Age Programs in FamLink/WA Compass.
  • Clarify the licensing application process with Child Care Centers, and/or School Age Directors, Family Home providers, community stakeholders and the public.
  • Check background clearances in MERIT as requested and processes annual declarations.
  • Receive and processes incoming and outgoing mail for the licensing staff. Process certified mail and keep a certified mail log.
Required Qualifications:
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. 
OR
  • Equivalent combination of education and experience totaling three (3) years of office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
AND 
  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:
  • Demonstrated ability to accurately type at a net speed of 50 words per minute or faster.
  • Demonstrated ability to take meeting notes/minutes that capture key messages.
  • Demonstrated competency in formatting business correspondence. 
  • Demonstrated ability to establish basic mathematical computations, accounting and record keeping.
  • Demonstrated proficiency in computer applications and systems related to the work such a as Microsoft Office suite.
  • Demonstrated ability to analyze and resolve office administrative and procedural problems.
  • Demonstrated ability to perform basic research and prepare reports and recommendations. 
  • Demonstrated ability to initiative independent judgment within established policy and procedural guidelines.
