The Opportunity

WSDOT is currently seeking multiple Administrative Assistant 3 to provide professional, high-level administrative support to the SR 520 Bridge Replacement and HOV Program, one of the agency’s most visible, complex, and politically significant mega-programs. These roles support program leadership within the Urban Mobility, Access, and Megaprograms (UMAM) division and help ensure the successful delivery of multi-billion-dollar capital projects throughout the Seattle corridor. The Administrative Assistant 3 will coordinate key program functions, including timekeeping, purchasing, and inventory and equipment tracking, for a biennial budget exceeding $600 million. These positions also play a critical role in maintaining compliance with agency and state requirements, supporting project milestones, and ensuring smooth day-to-day operations. With a focus on accuracy, organization, and excellent service, these roles help uphold the operational integrity and stakeholder satisfaction of these major statewide programs.

What to Expect

Among the varied range of responsibilities held within this role, the Administrative Assistant 3 will:

  • Coordinate calendars, schedule meetings and events, manage delegated inboxes, and support communication with internal and external stakeholders.
  • Prepare and support management meetings by organizing agendas, assembling documents, and coordinating logistics and resources.
  • Monitor and communicate policy and administrative procedure updates, assist with drafting revisions, and maintain version control of documents.
  • Provide backup administrative support across the Program, including timekeeping, purchasing, procurement, IT coordination, and other operational needs.
  • Process purchases, track invoices, reconcile P-Card transactions, and coordinate with vendors and financial services to ensure accurate and timely payments.
  • Perform payroll and timekeeping duties by establishing deadlines, reviewing timesheets, verifying coding and balances, and submitting labor corrections.
  • Track and manage inventory and equipment, including phones, IT assets, and minor capital items, ensuring accurate records and compliance with WSDOT procedures.
  • Coordinate onboarding and offboarding processes, support recruitment activities in NeoGov, maintain organizational charts, and manage program email groups.


Qualifications

To be considered for this opportunity, the following are required:

It is preferred that qualified candidates also have:

  • Microsoft & Software Proficiency: Demonstrated skill in using Microsoft Office products (Outlook, Excel, Word, Visio, and PowerPoint) and platforms such as SharePoint.
  • Technical Systems Aptitude: Ability to learn and navigate specialized administrative systems such as TRAINS, LMS, DOTtime, and other agency applications.
  • Government & Administrative Knowledge: Familiarity with state government structure, administrative procedures, office functions, and personnel policies.
  • Independent Work Capability: Ability to work independently with minimal supervision while maintaining accuracy and efficiency.
  • Organization & Prioritization Skills: Demonstrated ability to organize workloads, set priorities, and manage competing deadlines effectively.
  • Time Management & Multitasking: Ability to manage time efficiently and handle multiple tasks simultaneously in a fast-paced environment.

  • The salary listed includes the legislative approved 5% salary premium for positions in King County. 
  • In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position. Information on other compensation types for non-represented positions can be found in Chapter 357-28 of the Washington Administrative Code.
