The Department of Children, Youth, and Families (DCYF) is looking for a motivated Administrative Assistant 5 to function as the principal assistant to the Deputy Assistant Secretary for administrative matters and accomplishes varied and complex projects. The Opportunity:

You will prepare correspondence, exercise signature authority on designated administrative matters, and maintain strict confidentiality for employee and client information. With flexible scheduling options in a hybrid environment that makes commuting convenient, you’ll enjoy a balance of structure and adaptability. Some of what you will do:

  • Plan, organize, coordinate, and develop administrative goals, objectives, policies and procedures.
  • Assist with complex administrative support for the Deputy Assistant Secretary.
  • Coordinate, manage, and prioritize the Deputy’s calendar and prepare background information for professional commitments.
  • Participate in monthly team meetings and provide professional note-taking and agenda-setting.
  • Sort, read, and annotate incoming mail and business correspondence.
  • Monitor contracts and contractors within JR.
  • Perform duties as purchase custodian, coordinate the office and facility access, and work with fiscal analysts on the use of approved purchasing program and contracted suppliers; record keeping and other essential activities.
  • Manage and assist in reviewing recruitment requests and job postings, and onboard new staff.
  • Ensure that established policies and procedures are followed when it comes to records and processes.


Required Qualifications:

Equivalent combination of education/experience.

OR

One year as an Administrative Assistant 4.

OR

Two years as an Administrative Assistant 3

AND

  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.


In addition to those required qualifications, our ideal applicant will also have some or all of the following:

  • A Bachelor's degree in business administration, public administration or closely aligned field, AND three years of administrative or supervisory experience.
  • Previously demonstrated commitment to equity, diversity, and inclusion.
