Leidos Health and Services Sector currently has an opening for a Administrative Assistant – PMO to work remotely. This is an exciting opportunity to use your experience helping the Military OneSource mission. The Military OneSource Program provides 24/7 support services for military members and their families, similar to a commercial Employee Assistance Program (EAP). This program provides a broad array of information, resources, education, referrals, and counseling to about 4.7 million participants which includes military service members, their families, and eligible civilians at locations worldwide. The Military OneSource program serves as a “one source” for resource and information encompassing a comprehensive support system.
The Administrative Assistant – PMO is responsible for providing administrative support to the Program Manager (PM) and Deputy Program Manager (DPM). Duties include calendar and inbox management, ordering supplies, coordinating travel arrangements, and providing meeting support.
The position is contingent upon winning program work. Targeted salary is $74,000.
This role:
Gathers, collects, records, and tracks data and materials required for meetings, such as the Kick-off Meeting and Technical Status Review meetings.
Manages and coordinates all logistics related to scheduling and supporting program management meetings, including deconflicting participant schedules as needed.
Captures, documents, circulates, and archives meeting notes, including attendance, issues discussed, decisions made, and assigned action items.
Supports the development of and tracks the status of Requests for Information Packages (RIPs) and Technical Action Requests (TARs).
Maintains a summary log of trips taken and conferences attended by Program Management staff and consolidate trip summaries and reports from task managers across all tasks.
Supports document management activities, including the publishing and archiving of Program Management artifacts such as the Program Management Plan and Quality Management Plan
Primary Job Responsibilities
Provide comprehensive administrative support to the Program Manager (PM) and Deputy Program Manager (DPM), including calendar and inbox management
Coordinate and manage logistics for program management meetings, including scheduling, deconflicting participant availability, and preparing required materials.
Capture, document, distribute, and archive detailed meeting minutes, including attendance, discussion topics, decisions, and assigned action items.
Gather, track, and maintain data and documentation required for key meetings such as Kick-off Meetings and Technical Status Reviews.
Support the development, tracking, and status reporting of Requests for Information Packages (RIPs) and Technical Action Requests (TARs).
Coordinate travel arrangements, maintain travel logs, and consolidate trip summaries and reports from program management staff and task leads.
Support document management activities, including publishing, version control, and archiving of Program Management artifacts such as the Program Management Plan and Quality Management Plan.
Order and manage office supplies and provide general administrative coordination support as needed.
Collaborate with program leadership to support client expectations and maintain strong professional relationships.
Perform additional duties as assigned.
Basic Qualifications
Bachelor’s degree required.
Strong customer service skills with the ability to support senior leadership and client stakeholders.
Demonstrated proficiency in Microsoft Office applications, including Word, Outlook, Excel, and SharePoint, as well as web-based research tools.
Strong organizational skills with attention to detail and the ability to manage multiple priorities.
Strong written and verbal communication skills.
U.S. citizenship and fluency in English required.
Ability to successfully pass criminal history, fingerprint background checks, and credential verification required.
Must be able to maintain and retain suitability investigation and clearance as required.
Proficient in navigating electronic systems, computer programs, and virtual service platforms.
This position requires a separate, quiet, private, confidential space to work from, as well as having access to your own reliable high-speed internet hard wired to your home (coax or fiber from the Internet Service Provider (ISP) to your home.) Using a hot spot from a mobile device (tethering) or wireless ISP is not acceptable.
