POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss' Apprenticeship Administrator provides comprehensive administrative and program support to the Apprenticeship Manager, and the Moss Solar Apprenticeship Program. This is a fast-paced, high-visibility role requiring strong organization, initiative, attention to detail, and effective communication.

The position collaborates closely with management, superintendents, apprenticeship coordinators, and apprentices to support day-to-day program operations, maintain compliance documentation, and ensure accurate tracking and reporting across key apprenticeship milestones. The role operates within a construction environment and is expected to become familiar with Moss processes, priorities, and field-driven timelines.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Support the Apprenticeship Manager and Senior Coordinator with scheduling, meeting logistics, travel coordination, invoices, and expense reports

  • Organize and execute logistics for internal meetings, trainings, and events (scheduling, materials preparation, note-taking, and follow-ups)

  • Act as liaison between the Apprenticeship Team and internal departments (Field Leadership, HR, Payroll, IT) to streamline operations and resolve administrative needs

  • Receive, organize, and prepare apprentice & journeyworkers applications for review by the Apprenticeship Team

  • Assist with onboarding for new team members in collaboration with HR and internal departments, ensuring proper documentation and system access

  • Maintain and upload apprentice files in compliance with applicable state and federal regulations and internal requirements

  • Track and submit Related Technical Instruction (RTI) hours on TCP (or designated platform)

  • Monitor apprentice status changes (terminations, transfers, suspensions, completions) and update reports to keep the team informed

  • Reconcile updates received from apprenticeship coordinators and ensure tracking tools and reports remain current, accurate, and audit-ready

  • Support the Senior Coordinator in the preparation and submission of apprentice bonuses, including tracking eligibility and required documentation

  • Assist with apprentice-facing communication regarding administrative steps, events, and key milestones

  • Contribute to the creation and maintenance of SOPs, templates, and internal resources

  • Manage swag inventory (tracking, reordering, and coordinating distribution to apprentices/events)

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • Strong attention to detail and ability to organize, prioritize, multi-task, and work independently

  • Professional written and verbal communication skills; strong interpersonal skills

  • Proficiency with Microsoft Office Suite

  • Demonstrated problem-solving skills with a focus on quality and compliance

  • Strong teamwork skills and ability to work in a collaborative environment

  • Ability to take initiative without waiting for direction

  • Willingness and desire to learn

  • Experience supporting teams in a construction environment (understanding field schedules, jobsite priorities, and urgency-driven coordination)

  • Experience with tracking and monitoring program participants, status changes, and maintaining accurate reports (HR, training, compliance, or workforce programs)

  • Familiarity with apprenticeship programs, apprenticeship compliance, or related workforce development programs

  • Experience with RAPIDS / RAPIDS 2.0, RTI tracking, or similar systems (preferred, not required)
