Position Overview:

The Associate Director, Real Estate Lease Administrator position plays a key role within the Enterprise Services – Real Estate organization, supporting a portfolio totaling ~80 million square feet — including ~600 leased (~30 million SF) properties.

This position is responsible for the lease administration platform, and owns the accuracy and integrity of lease data, compliance with lease terms, and timely processing of rent payments and other landlord obligations. The Lease Administration lead will collaborate closely with Transaction Management, Finance, Legal, and Facilities teams to ensure alignment of portfolio information, financial accuracy, and operational continuity across a complex manufacturing and logistics network.

What You Will Do:

  • Serve as the global lead for the lease administration service line, owning all KPI’s, metrics, and outcomes.
  • Evaluating technology innovations, current and future best practices, and benchmarking against competitors to continue to mature the platform.
  • Own relationship with third-party provider providing lease administration support
  • Work with third-party to abstract and maintain accurate lease data and critical terms within the company’s lease administration system (e.g., OVLA).
  • Ensure accurate and timely processing of rent schedules, lease amendments, and landlord invoices.
  • Track and manage critical dates including expirations, renewals, options, and terminations; ensure proactive communication with internal stakeholders.
  • Collaborate with Lease Accounting to ensure timely reporting of lease obligations.
  • Work in partnership with Accounts Payable to confirm timely and accurate processing of rent payments
  • Maintain records for owned properties, and supporting legal documents (deeds, closing packages, etc.)
  • Support annual operating expense audits and lease compliance reviews.
  • Provide portfolio-level reports and dashboards summarizing key lease metrics and upcoming expirations.
  • Partner with Transaction and Portfolio Managers on new lease onboarding, amendments, and terminations.
  • Serve as a primary point of contact for landlord communication, internal stakeholders, and audit requests.
  • Identify opportunities for process improvement, automation, and standardization within lease management workflows.

Qualifications You Must Have:

  • Typically requires a University Degree or equivalent experience and minimum 12 years prior relevant experience, or an Advanced Degree in a related field and minimum 10 years experience
  • Minimum of 12 years of experience in lease administration or real estate accounting, preferably with a large-scale industrial, manufacturing, or logistics portfolio.
  • Experience managing or supporting portfolios exceeding 20 million SF or 500+ active leases preferred.

Qualifications We Prefer:

  • Familiarity with owned-asset tracking and integration with financial systems.
  • Proficiency with lease administration platforms such as OVLA, Archibus, or CoStar.
  • Intermediate to advanced Excel skills required; experience with Power BI or Tableau a plus.
  • Working knowledge of ERP systems (e.g., SAP, Oracle) and document management systems.
  • Deep understanding of commercial lease structures (NNN, gross, ground, and build-to-suit).
  • Strong analytical and problem-solving skills.
  • Exceptional attention to detail and data accuracy.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent communication and stakeholder management skills.
  • Lease data accuracy and validation rate.
  • Timeliness of rent payments and reconciliations.
  • Compliance with critical dates and notice obligations.
  • Audit findings or exceptions.

The salary range for this role is 147,000 USD - 295,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
