Position Summary:
The Certification and Compliance Team Member plays a critical role in ensuring the integrity and accuracy of the certification process across multiple states. This position requires a high level of attention to detail, critical thinking skills, and solid quantitative skills. The Certification Specialist supports the Certification Department by processing candidate assignments, reviewing certification requirements, monitoring candidate employment status, calculating time taught and fees, and assisting with other compliance related tasks. This role involves working across multiple states simultaneously, managing multiple inboxes, and staying on top of varying regulations and procedures. The position also includes conducting internal audits, attending meetings, and updating procedures to comply with State Education Agency rules and regulations. A deep understanding of state-specific codes is essential to ensure compliance, and the individual must collaborate with the Compliance Team and the State Agency (as applicable), to carry out processes and help inform decision making.
Key Responsibilities/Duties:
- Ensure Compliance Across Multiple States: Implement policies and procedures to adhere to state laws and regulations across the various states in which we operate.
- Review and Process Employment: Evaluate candidate employment for internship placements in accredited schools across different states and process any employment changes during the academic year.
- Collaborate with Compliance Team and State Agency (as applicable): Understand and apply codes from multiple states to ensure compliance with program requirements.
- Multi-State Coordination: Manage multiple inboxes and stay organized while working on tasks related to certification in various states. Respond promptly to emails and requests from different state agencies, districts, and internal departments.
- Certification Processing: Process certifications and candidate enrollments in relevant educator certification online systems for each state, ensuring accuracy and compliance with state-specific requirements.
- Interdepartmental Support: Assist Advisors and other departments with certification-related inquiries, ensuring consistent communication across teams for multiple states.
- District Communication: Communicate effectively with districts across multiple states to clarify certification requirements for potential candidates and interns.
- Address Non-Compliance: Identify candidates who may be out of compliance in any state and collaborate with the Compliance Team to determine the proactive steps needed to address certification issues.
- Audit Participation: Participate in ongoing internal auditing efforts related to intern placements and certification requirements across all states to address compliance issues and help identify potential process gaps.
- Certification Changes: Submit certification deactivations, reactivations, and amendments to state agencies as needed while adhering to the strict deadlines provided by the State Agency.
- Collaborate with IT: Provide feedback to the department leader on potential updates needed to the Teachers of Tomorrow technology infrastructure to reflect the most current policies and practices in all operating states and to enhance operating efficiency.
- Administrative Tasks: Process all administrative tasks as required related to the certification process for initial and Standard Certificate issuance including but not limited to Principal Recommendations, Deficiency Plans, Add Campus, and Background Checks, etc.
- Perform additional duties as assigned.

Education/Experience:
- Bachelor’s degree (preferred) or commensurate experience in an educational or professional administrative capacity
- 2+ years of experience in a heavy customer service or sales-oriented position
