POSITION OVERVIEW
The Clinical Administrative Assistant is responsible for reviewing, auditing, and approving clinical documentation submitted by AOM nurses and contracted agency nurses to ensure accuracy, completeness, compliance, and billing readiness.
In addition to documentation oversight, this position provides operational support to the Detailed Written Order (DWO) team and serves as backup support for clinical review during the intake process to ensure continuity of clinical workflows. This position requires close collaboration with Clinical Care Navigators, Patient Care Coordinators, Intake, Pharmacy, Nursing Leadership, and agency partners to support quality patient care and regulatory compliance.
KEY RESPONSIBILITIES
Clinical Documentation Review & Quality Assurance
- Review nursing documentation submitted by AOM nurses and contracted agency partners for accuracy, completeness, compliance, and billing readiness.
- Ensure clinical documentation meets AOM standards, payer requirements, accreditation standards, and regulatory guidelines.
- Identify documentation deficiencies, omissions, inconsistencies, or missing required elements and communicate corrective measures to clinicians.
- Monitor and track outstanding documentation corrections to ensure timely completion.
- Approve documentation once all quality and compliance requirements have been met.
- Conduct audits of patient medical records to ensure complete and accurate clinical documentation.
- Identify documentation trends and recurring deficiencies and communicate opportunities for education and process improvement.
- Participate in the company’s Quality Assurance Program and support continuous quality improvement initiatives.
- Maintain confidentiality of all patient information in accordance with HIPAA regulations and company policies.
Intake Operations Support
- Provide backup coverage for Clinical Intake Coordinator during high volume days as well as during planned and unplanned absences.
- Review medical documents/information pertaining to the patient’s diagnosis, health history, and medication ordered as required by the patient’s insurance carrier to determine the “medical necessity” of the prescribed therapy.

Effectively communicates with sales, clinical team, patients and family.
- Acts as primary liaison between branch personnel and referral sources during patient intake process.
- Responsible for communicating sales related concerns and referral source or patient complaints to management.

Ensure timely authorization process for services from the patient’s insurance carrier and the timely communication of insurance information to management, clinical and sales teams.
- Review physician’s letter of medical necessity and other medical information as required by the patient’s insurance carrier to determine the “medical necessity” of the prescribed therapy.
- Maintain accurate referral and patient information within company systems.
- Collaborate with intake, pharmacy, nursing, and scheduling teams to facilitate seamless patient transitions into care.
General Responsibilities
- Support AOM Infusion’s ongoing compliance with ACHC accreditation standards.
- Maintain working knowledge of ACHC standards, home infusion regulations, and documentation requirements.
- Assist with accreditation preparation activities, audits, and corrective action initiatives.
- Promote adherence to company policies, procedures, and regulatory requirements.
- Participate in departmental meetings to discuss workflow priorities, documentation concerns, and operational initiatives.
- Effectively communicate with internal departments, referral sources, agency partners, providers, patients, and caregivers as appropriate.
- Provide clinical and operational support to nursing, intake, pharmacy, and administrative teams.
- Perform additional duties and special projects assigned by leadership.
DWO Support
- Assist with the preparation, review, tracking, and management of Detailed Written Orders (DWOs).
- Follow up with providers, internal departments, and external partners to obtain required signatures and documentation.
- Monitor DWO workflows to ensure timely completion and compliance with payer requirements.
- Collaborate with Clinical Care Navigators, Intake, Pharmacy, and Nursing Leadership to resolve order-related issues.
- Support process improvement initiatives related to physician orders and documentation management.
REQUIREMENTS
- Active LVN/LPN (no RN License) license is currently registered in state working in and in good standing with the Board of Nursing.
- Healthcare experience in home infusion, home health, specialty pharmacy, case management, clinical operations, or a related field with knowledge of regulatory requirements.
- Strong understanding of clinical documentation standards and healthcare compliance requirements.
- Excellent organizational skills and attention to detail.
- Effective verbal and written communication skills.
- Ability to manage multiple priorities and meet established deadlines.
- Proficiency with electronic medical records and Microsoft Office applications.
- Knowledge of ACHC and URAC standards.
