The Lease Administrator upholds the integrity of the US real estate portfolio data.  Inputs, maintains, organizes and reports on information regarding lease dates, dollar values, covenants and transactions into the real estate and lease accounting software. Responsible for monthly rent process and oversight of expense reconciliations and payments. Maintains positive relationships with landlords and property managers while facilitating resolution of questions or issues. They are responsible for all tasks related to lease administration.

Key Areas of Responsibility

  • Abstraction and filing of all leases and related documentation.
  • Oversight of reconciliation of all additional rents and triple nets or operating expenses for each location.
  • Maintain relationships with landlords.
  • All tasks related to lease administration.

Critical and Essential Tasks

  • Responsible for data integrity in lease administration software database.
  • Accurately abstract leases and related documents into the real estate and lease accounting software. Ensure all documentation is obtained, filed, and communicated timely to the appropriate teams/people.
  • Ensure lease documents are interpreted properly, and all payments of rent and additional charges comply with lease terms.
  • Review certificates of insurance (COIs) and work directly with the insurance provider and/or landlord to submit revisions or address any outstanding issues.
  • Maintain electronic real estate files for each property including leases, amendments, correspondence and exhibits, scans and electronically files multiple documents regularly for virtual filing and electronic correspondence to landlords.
  • Receives, processes and files all incoming real estate mail and reviews and manages real estate department email address.
  • Review all monthly statements submitted by landlords or property management companies.
  • Properly adjusts all CPI (consumer pricing index) rent increases as leases require.
  • Oversee day-to-day landlord relationships regarding payments, sales reporting, and maintenance issues. 
  • Perform due diligence for SNDA and estoppel documents and work with Legal to obtain fully executed originals.
  • Work with Accounts Payable for rent vendor adds or changes and process out of cycle payments to landlords.
  • Monitor leases/amendments for rent start-up, changes in ownership, etc. and ensure all necessary documents are collected, recorded, filed, and dispersed accordingly.
  • Reconcile and process monthly rent and occupancy payments for US locations.
  • Oversight of triple net/operational expense reconciliation database, process, and completion.
  • Maintain sales tax data as required in lease administration software.
  • Addresses and resolves landlord/tenant rent issues timely.
  • Provide store location mapping and demographic reports as needed.
  • Provide zoning details for locations as needed.
  • Build and/or maintain reports in excel for: rent analysis, renewal tracking, reconciliations tracking, RE taxes, sales taxes, landlord data, ACH payment tracking.
  • Interact with various departments in the organization to share knowledge and promote best practices.
  • Performs additional projects as assigned.

Requirements Experience

  • 2+ years of experience in lease administration or commercial property accounting
  • Education
  • Bachelor’s degree or equivalent work experience

Job-Specific Knowledge, Skills, and Abilities

  • Demonstrate strong verbal and written communication, interpersonal skills, and integrity.
  • Attention to detail and accuracy; and time management and organizational skills
  • Highly proficient in the use of MS Word, MS Excel, and Outlook
  • Ability to prioritize workload, meet multiple deadlines simultaneously in a fast-paced environment
  • Advanced problem solving and critical thinking
  • Ability to work independently and demonstrate ownership of job tasks
  • Experience with a Lease Administration software preferred.  Familiarity with Lucernex desired.
  • Basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages and basic excel formulas.
