Position overview
Reporting to the Manager of Real Estate, the Lease Administrator is responsible for the accurate administration, maintenance, and integrity of the company's lease portfolio and related real estate data. This is a highly detail-oriented and process-driven role with a strong focus on ensuring lease documentation, financial records, and database information are complete, accurate, and current.
This role plays a critical function in maintaining compliance, supporting audits, and ensuring reliable lease data to support operational and financial decision-making. The Lease Administrator partners closely with landlords, Finance, and cross-functional internal teams to support scalable infrastructure growth.
Responsibilities
Lease data management & documentation
- Abstract, maintain, and update lease data for new leases, amendments, assignments, renewals, and terminations
- Ensure lease documentation is complete, accurate, and consistently maintained across internal databases and systems
- Uphold document integrity, version control, and data consistency within Nexys-One and other internal systems
- Support high-volume data entry and administrative tasks related to lease administration
Financial review & reconciliations
- Review and process hydro reconciliations in accordance with lease terms and supporting documentation
- Review, validate, and approve realty tax invoices, ensuring accuracy and compliance with lease provisions
- Assist with accounts receivable and unapplied payment resolution initiatives in coordination with Finance
- Support financial audits by providing accurate records, summaries, and ad hoc reporting as required
Landlord & stakeholder communication
- Communicate directly with landlords regarding lease-related matters, inquiries, and routine issues
- Act as a point of contact for landlord concerns, escalating issues to the Manager of Real Estate as appropriate
- Track and manage landlord escalations, distributing items to relevant internal departments and following up to ensure timely resolution
- Maintain professional and effective communication with landlords and external partners
Lease renewals & administration
- Track critical lease dates, including expiries and notice periods, and ensure timely preparation of renewal documentation
- Draft lease renewal notices using approved templates and conduct preliminary market analysis to support renewal discussions
- Negotiate renewal terms within approved parameters and prepare and execute all required lease documentation
Reporting & portfolio support
- Own lease administration reporting, including Expiry Reports, Construction Start Date Reports, Pipeline Reports, and CNDR
- Maintain monthly tracking reports in Nexys-One and ensure timely distribution to relevant internal stakeholders
- Monitor the Lease Administration mailbox and ensure inquiries are addressed or routed appropriately
Property administration & issue coordination
- Coordinate and follow up on landlord complaints related to property damage, access, maintenance and repairs, snow removal, and meter installations
- Collaborate with internal teams and external vendors to support timely resolution of property-related issues
Cross-functional support & agility
- Collaborate across departments to support ad hoc assignments and time-sensitive initiatives, responding effectively to shifting priorities
- Contribute to short-timeline projects by applying sound judgment, prioritization, and clear communication
- Provide flexible support on emerging issues, escalations, or special projects as required
About you
- College diploma or university degree in business, accounting, real estate law, real estate development, or a related field
- 3–4 years of experience negotiating, managing, and administering real estate contracts with a track record of accuracy and compliance
- Meticulous attention to detail when reviewing agreements, reports, and financial documentation
- Excellent time management and organizational skills with the ability to manage multiple priorities simultaneously
- Strong written and verbal communication skills, with the ability to convey complex information clearly to diverse stakeholders
- Proficiency in Microsoft Office Suite, database management tools, and lease administration software; ability to quickly learn new systems
- Strong interpersonal skills with the ability to work independently and collaboratively within a team
- Customer-focused and solution-oriented, with sound judgment and demonstrated decision-making abilities
- Knowledge of the telecommunications industry is an asse
