Wood is currently recruiting a strong Project Administrator on a staff basis to provide administrative project support to the day-to-day operations of the Shell One Gas team based in Lowestoft. This role offers hybrid working arrangements, with the expectation of 4 days in office and 1 remote.

Responsibilities
  • Assists project team with day-to-day support of the project or site working closely with operations manager 
  • Organises and expedites flow of work through project or site and initiates follow up actions with operations manager support 
  • Maintains knowledge of project status, scheduling requirements, and project operations/procedures   
  • Sets up and maintains electronic site file directories 
  • Issues and coordinates access to shared project drives and websites 
  • Ensures the correct functioning of facilities, office and/or business support services 
  • Performs clerical, administrative and general office duties including transcription, typing, and recording 
  • Ensures reports and documents follow company and project standards 
  • Manages project specific forms and instructions 
  • Coordinates, schedules and prepares information for meetings and appointments   
  • Assists with onboarding/orientation of personnel   
  • Assists with internal and external project audits  
  • Assists with training & competence team when necessary  
  • Assists with time writing team when necessary  
  • Assists field operations with completion of daily time sheets  
  • Assists in travel, accommodations and car rentals when necessary  
  • Liaises with commercial & finance   
  • Liaises with internal HR team when requested  
  • Liaises with internal recruitment team and updating trackers  
  • Compilation & issue minutes of meetings  
  • Prepares emails, presentations for operation manager’s review   
  • Hosting and coordination of the Teams area and file updates  
  • Consideration of CAIRS, KPI and IPR administration  
  • Site visits to Bacton and W2W in support of operations manager IR discussions and note taking 
  • Assisting in supervisor calls for offshore and preparation of material and output sharing and follow-up

Qualifications: 

  • High school education or equivalent is preferred 

  Knowledge, skills and experience:  

  • Strong project/admin experience in the Engineering and Construction industry desirable
  • Proficiency with Microsoft Suite programs to include Teams, Word, Excel, PowerPoint and Outlook
  • Oracle experience a plus
  • Ability to correspond and interact with others in a courteous and professional manner 
  • Possess good organizational skills   
  • Self-motivated to learn
