Sample Order Management & Coordination

Request & coordinate samples from vendors

Place/ process sample orders accurately and promptly

Track all samples in the sales pipeline & Confirm receipt of sample with customer

Provide weekly updates/ reports on sample activity & status, due Mondays

Sales Pipeline Updates
-
When CC’d via email, update the pipeline with any information shared/ requested updates
-
Document Management/ Google Drive Organization
-
Maintain organized and up-to-date records in Google Drive
-
Upload/ archive relevant documents when copied on internal or external communication
-
Ensure proper understanding/ use of folders & sub-folders
-
Ensure proper understanding of folder/ document labeling in Drive for searchability
-
Ex. Archiving Invoices, Revised Sales Orders, Customer Purchase Orders, etc.

Assist in Onboarding Support (New Customers, New Vendors, New Items)
-
Follow up with appropriate parties to ensure timely submission of required documents
-
Assist in the transfer of documents due between customers & vendors
-
Order Status & Delivery Coordination (shipment adjustments)
-
Monitor pending delivery and pickup orders for changes/ hold-ups
-
When CC’d update orders in Google Drive, our Sales Pipeline, & ZoHo with the information change

Eventually, ensure end customer sees/ confirms change
-
Maintain ‘approved customer’ lists for each vendor. Update list & confirm with the vendor as necessary
Hard Requirements:
-
Proficiency with Google Workspace, including Drive, Docs, Sheets, and Slides, with strong organizational and file management skills.

1–2+ years of experience in an administrative, virtual assistant, customer service, or sales support role (logistics or distribution experience is a plus but not required).

Excellent written English; Clear, professional email communication.

Exceptional attention to detail and strong follow-up habits; you keep lists, track tasks, and close loops.

Comfortable working with spreadsheets (filtering, basic formulas, data entry, sorting).

Ability to work independently, ask clarifying questions, and proactively communicate status.
Schedule:

20 hours per week

Monday to Friday

10AM - 2PM Eastern Standard Time Zone
Offer and Benefits:

Weeks 1–8: $5 USD/hour

Week 9 onwards: $6 USD/hour
