Job Description – Contract Administrator (SaaS)

Summary
The SaaS Contract Administrator will oversee and execute the lifecycle of customer contracts for our SaaS business — from drafting and processing to renewals and amendments. This important role reports to the VP Finance and partners closely with Customer Success, Sales, and Legal counsel to ensure contracts are accurate, compliant, and renewed efficiently.
The ideal candidate is detail-oriented and organized, with the communication and persuasive skills to handle renewal discussions and conversations about pricing with professionalism and tact while reinforcing the value of the product.
Key Responsibilities
Contract Lifecycle Management
- Prepare, review, and process SaaS subscription agreements, renewals, addenda, and amendments using HubSpot and PandaDoc.
- Maintain accurate and current contract data across systems and ensure full compliance with company policies.
- Coordinate document execution and ensure timely contract completion.
Renewals & Pricing Coordination
- Manage and track renewal timelines proactively; communicate renewal terms and pricing updates to customers.
- Support Customer Success and Finance in executing renewals and ensuring alignment with company pricing and discount structures.
- Provide and maintain visibility into renewal metrics, such as renewal rates and contract adjustments.
Cross-Functional Collaboration
- Partner with inside and outside sales as well as legal counsel to review non-standard terms and maintain consistent contract language.
- Collaborate with Sales and Customer Success to ensure customers and prospects receive great communication and experience around contract execution.
- Provide contract-related reporting and insights to Finance leadership.
Process & Compliance
- Identify opportunities to improve contract workflows and documentation accuracy.
- Uphold compliance with internal controls, approval workflows, and data handling standards.
- Help refine contract templates and renewal communication processes.
Required Skills & Qualifications
- Bachelor’s degree in Business, Finance, Communications, or a related field, or equivalent work experience.
- 1–3 years of experience in contract administration, customer operations, or sales support within a SaaS or technology company with subscription-based billing models and customer renewals.
- Experience with CRM and contract management tools (HubSpot, PandaDoc and ChurnZero preferred).
- Exceptional attention to detail and accuracy in documentation.
- Excellent written and verbal communication skills — able to explain contract details clearly and professionally to both internal and external stakeholders.
- Persuasive yet diplomatic approach to renewal conversations and pricing discussions.
- Strong organizational and multitasking abilities, with the ability to manage numerous contracts simultaneously.
- Collaborative and cross-functional mindset, comfortable working with Finance, Customer Success, Sales, and Legal counsel.
- Ability to analyze contract data and identify patterns or opportunities for improvement.
- Proficiency with Microsoft Excel.
