As we look ahead to the next 150, continued collective action will be essential to securing a healthy, climate-resilient future for all. To support this work, we are looking for a Contracts Administrator to join our Grants & Contracts team. 

 

What You’ll Do 

As a part of the team, you will manage the procurement and vendor contracting process and support departments across American Forests to ensure that all vendor contracts comply with funder requirements, federal procurement standards, and American Forests’ policies. Major responsibilities include: 

  • Serve as a representative and subject matter expert on procurement policies, procedures and federal procurement standards.
  • Review pending vendor contracts for completeness, accuracy, and compliance with all applicable policies, regulations and other funder requirements.
  • Support the negotiation of terms and conditions with contractors, consulting with the Director of Grants and Contracts, AF Leadership, and external legal counsel as appropriate.
  • Route agreements to contract representatives for signature and execution.
  • Process purchase orders in the financial system to record contractual commitments.
  • Review and approve vendor invoices.
  • Serve as a backup to other members of the Grants & Contracts team to support activities such as project code setup, project closeout, processing journal entries and invoicing/reporting as needed.
  • Support the annual audit process.
  • Serve on various working groups and committees as needed for policy/procedure development and process improvement.

  • 5-7 years of experience coordinating and managing contract administration processes.
  • Bachelor’s degree in business administration or related field.
  • Robust knowledge of Uniform Guidance Code of Federal Regulations 2 CFR Part 200 and federal procurement standards
  • Exceptional attention to detail, strong organizational skills, and ability to manage and track multiple workflows and lines of communication
  • Ability to work independently and follow through on assignments and meet deadlines
  • Ability to effectively engage and build relationships with colleagues in a virtual setting
  • Proficiency with Microsoft Office applications including, but not limited to, Outlook, Excel, Teams, and SharePoint

Reporting and Supervision 

The Contracts Administrator reports to the Director, Grants & Contracts. This position will work closely with all departments across the organization. This position does not have any direct reports. 

 

Working Conditions 

This is a remote position. Occasional travel to American Forests’ headquarters in Washington D.C. may be required.

Compensation & Benefits 

This is a full-time, salaried exempt position. The budget salary range is between $60,000 and $80,000. Our benefits package includes:
