Human Resources Assistant - Hybrid - Remote/On-Site

ADTRAV is seeking a Human Resources Assistant to provide administrative and operational support to the Human Resources team across a variety of HR functions, including recruitment, onboarding, employee relations, records management, benefits administration, payroll support, and compliance. This role serves as a key resource for employees and managers by delivering exceptional customer service while ensuring adherence to company policies and employment laws.
This is a hybrid position and must live within one hour of our Birmingham, AL office. The position may work remote but will need to come into the Birmingham, AL office as needed for meetings, trainings, or to perform other duties.Β
This position will support government clearance processes and is required to pass a government clearance, which includes reviewing criminal history, credit, employment, and other financial information.
Essential Duties and Responsibilities include the following:Β
- Support the day-to-day operations of the Human Resources department.Β
- Manage the government clearance process, including providing guidance to employees, tracking progress, following up on outstanding items, and maintaining status reports.
- Respond to employee inquiries regarding HR policies, benefits, procedures, and employment-related matters in a timely, professional, and customer-focused manner.
- Maintain employee data within the Human Resources Information System (HRIS), ensuring accuracy, confidentiality, and data integrity, including the electronic filing of employee documents.
- Audit personnel files and HR records for completeness and compliance, identifying and resolving missing information as appropriate.
- Communicate employee concerns, recurring issues, and trends to HR leadership in a timely manner.
- Assist with compliance activities, including required postings, audits, and reporting to federal, state, and local agencies.
- Support recruitment and onboarding activities, including posting positions, reviewing resumes, coordinating interviews, screening candidates, conducting reference checks, processing new hire documentation, and assisting new hires throughout the onboarding process.
- Monitor and manage the Human Resources inbox, responding to inquiries or routing communications as appropriate.
- Provide payroll support by entering employee changes, researching discrepancies, and obtaining clarifications from employees and managers as needed.
- Assist with employee and manager communications through email, chat, and other communication channels.
- Prepare, maintain, and update HR reports, forms, spreadsheets, policies, procedures, and other departmental documentation.
- Support employee engagement initiatives, employee satisfaction surveys, and employee experience programs.
- Assist with HR projects, audits, and special initiatives, including open enrollment, compliance training, policy updates, and process improvements.
- Utilize HR and business systems, including HRIS, Smartsheet, Confluence, Jira, and other internal applications.
- Maintain a working knowledge of applicable federal, state, and local employment laws and regulations.
- Demonstrate excellent customer service, professionalism, empathy, and problem-solving skills in all interactions.
- Participate in ongoing professional development and training to enhance HR knowledge and skills.

- Perform other duties and responsibilities as assigned.
Qualifications:Β
- High school diploma or equivalent required; coursework or degree in Human Resources, Psychology, Business Administration, or a related field preferred.
- Minimum of one year of administrative experience required; prior Human Resources support experience preferred.
- Basic understanding of Human Resources principles, employment laws, records management, and HR best practices.
- Experience working with an HRIS, HRMS, Applicant Tracking System (ATS), or similar technology preferred.
- Highly proficient in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
- Strong technical aptitude with the ability to quickly learn and effectively utilize multiple software applications simultaneously.
- Exceptional customer service skills with a commitment to providing a positive employee experience.
- Excellent English verbal and written communication skills, including strong business writing, grammar, and proofreading abilities.
- Strong listening and interpersonal skills with the ability to respond to employee needs professionally, empathetically, and appropriately.

- Ability to report to the Birmingham, Alabama office as needed for meetings, training, or company events.
- Ability to work a schedule between Monday and Friday, 8:00am-5:00pm CT, with overtime as business needs require.
- Able to successfully pass a credit, criminal, and/or employment reference background check.Β
- Able to successfully pass a government clearance process.Β
The pay range for this position is $22-24 per hour; we may consider pay outside this range. Pay is based on administrative or human resources work experience.
