A HubSpot Administrator is responsible for operational management and optimization of the Hubspot CRM system, supporting key business functions like Sales and Marketing. The primary objective is to ensure CRM data integrity, enhance user adoption through support and documentation, and contribute to system improvements and automation initiatives. The position requires a detail-oriented individual with strong analytical and data management skills, specifically within the Hubspot ecosystem. It offers a unique opportunity for a junior professional to gain hands-on experience in CRM operations, data hygiene, and process enhancement within a scaling global business.


Your Role at Totara

  • System Administration: Own HubSpot setup, including managing users, permissions, custom objects, properties, and workflows.
  • Integrations & Data Management: Assist with integrations with platforms to maintain data integrity and cross-functional visibility.
  • Hands-on Platform Assistance: Create/schedule emails, build simple workflows, help troubleshoot user issues, pull reports.
  • Automation & Optimization: Design, build, and optimize automation, pipelines, and reporting dashboards to streamline workflows and improve operational efficiency.
  • Cross-Functional Enablement: Partner with departmental leaders to define CRM requirements, implement best practices, and ensure consistent adoption of HubSpot across business units.
  • Governance & Standards: Develop and enforce CRM governance, ensuring data quality, standardized processes, and platform scalability.
  • Onboarding & Transitions: Play a key role in transitioning new brands and business units onto HubSpot, ensuring smooth onboarding and alignment with existing processes.
  • Continuous Improvement: Stay up to date with HubSpot releases and CRM best practices, proactively identifying opportunities for platform improvement and new functionality.


Required Skills:

  • HubSpot platform proficiency: A strong understanding of HubSpot’s various features, tools, and functionalities is essential. This includes the ability to use every Hub – Marketing, Sales, Service, Content, and Ops.
  • Workflows/marketing automation: Creating and managing efficient workflows while optimizing them to meet specific business goals. This includes creating triggers, setting up segmentation, and implementing rules to ensure that the right messages are delivered to the right people at the right time.
  • Analytics/dashboard creation: The ability to extract meaningful insights from data helps in making informed decisions and optimizing marketing and sales campaigns. Knowledge of and experience with dashboard creation is key here as well. Be able to identify data inconsistencies and suggest basic improvements.
  • Data Management: The ability to clean data and maintain data hygiene as well as manage large datasets 70,000+ contact records with a focus on accuracy and completeness.
  • Organization and Communication Skills: Excellent organizational, time-management, and prioritization abilities to handle multiple tasks efficiently. Strong written and verbal communication skills, with ability to explain technical concepts to non-technical users and provide end-user support.
  • Training & implementation: The ability to train and onboard new users is crucial for successful implementation and adoption of the HubSpot platform. This can include creating standards and guides for the HubSpot instance. They should be able to troubleshoot issues that arise as well.

Ideal Qualifications:

  • Bachelor’s degree in marketing, Business, Data Analytics, or related field.
  • Progressive experience in marketing or related area.
  • Prior hands-on HubSpot experience is essential.
  • Proficiency in HubSpot CRM, marketing automation and hold HubSpot certifications.
  • Experience assisting with change management and stakeholder alignment across marketing, sales, and customer success.
  • Strong communication skills to influence and align strategic priorities across teams
