Office Administrator Job Description

Position Overview:
The Office Administrator will provide essential administrative and organizational support to ensure the smooth operation of business and HR administrative tasks at Sprout Therapy PDX. The role includes managing and maintaining operational documentation, facilitating reports, overseeing administrative tasks, and maintaining communication channels between staff, clients, and external parties.

This can be a part-time or full-time (20-32 hrs/week), hourly position with a flexible weekly schedule, with an hourly range of $20-28/hr, depending on experience.

Chief Administrative Officer


Duties & Responsibilities:

  • Facilitate reminder-based tasks and manage recognition reminders for birthdays, anniversaries, and licensure renewals.
  • Oversee operational reporting and data entry and managing data transfers.
  • Coordinate holiday reminders and group scheduling in Google calendar and Simple Practice.
  • Act as an IT liaison to do basic tasks such as resetting passwords, creating Google accounts, downloading PHI warning reports, etc.
  • Handle calendar management by organizing meetings and sending invites and agendas for larger meetings.
  • Track document signing in Rippling and monitor training completion in EdApp.
  • Maintain and organize company files and records in Google Drive.
  • Take notes during meetings and distribute to relevant personnel where applicable.
  • Manage email distribution lists and handle the main company email inbox.
  • Assist in content creation, including social media posts and blog updates, as well as small updates to the company website.
  • Handle physical and digital documentation, including distributing scanned mail and managing faxes related to client records.
  • Organize Google Drive in a logical and efficient manner.
  • Act as a front-line point-of-contact for HR questions from employees.
  • Assist with the gathering of payroll information and payroll data-entry.
  • Assist with ROADs Data Entry where applicable.
  • Collaborate with the Clinical Operations Specialist to gather necessary information from new and existing clinicians for credentialing needs.
  • Other job duties as assigned.

  • Emotional intelligence and flexibility, with a positive and adaptable mindset.
  • Previous experience in human resources administration is a plus.
  • Familiarity with HIPAA compliance and confidentiality practices is a plus.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 10 pounds occasionally.
