At Mr. Magic Car Wash, our people are the engine behind every clean car and every satisfied smile. As a Payroll & Administrative Analyst, you will play a critical role on our Finance Team, supporting the employee experience through accurate payroll, smooth onboarding and offboarding, and reliable administrative processes across multiple states. You'll collaborate closely with our CFO, Controller, People & Culture/HR Department, Site/District Leaders, and other department heads to ensure every employee receives timely pay, accurate benefits information, and a seamless start-to-finish employment experience.

This role is ideal for someone who values accuracy, organization, and supporting others through seamless payroll and administrative processes in a dynamic, fast-moving environment.

 

What You'll Do:

  • Payroll processing: Accurately calculate and disburse wages, overtime, commissions, and benefits, accommodating a biweekly payroll schedule.
  • Benefits administration: Manage employee benefits programs, including health insurance, retirement plans, FMLA, etc.
  • Compliance: Stay up to date and ensure adherence to federal and state labor laws and tax regulations.
  • Record keeping: Maintain accurate and detailed payroll records and update employee information.
  • Data analysis and reporting: Analyze payroll data, identify trends, and prepare reports for management on payroll issues and performance (headcount, turnover, etc.). 
  • Auditing and reconciliation: Conduct internal audits and reconcile payroll, benefit, and tax accounts.
  • Problem-solving: Research and resolve discrepancies, employee inquiries, and payroll-related issues.
  • Cross-functional collaboration: Coordinate with People & Culture/HR, accounting, and finance departments to ensure proper alignment of payroll activities, including Personnel Action Forms and STAR awards.
  • Process improvement: Evaluate and implement new processes or systems to enhance payroll operations efficiency.
  • Collaborate with HR: Manage onboarding, payroll, benefits administration, FMLA/leaves of absence, and offboarding.

Qualifications

Education:

  • High School Diploma, or equivalent (Bachelor's degree in Human Resources, Business Administration, Accounting, or related field is preferred)

 

Requirements:

  • 3+ years of experience in payroll, benefits administration, or related finance/HR operations role
  • Experience in processing multi-location or multi-state payroll is strongly preferred
  • Familiarity with benefits administration, FMLA/leave processes, and employment-related compliance
  • Strong understanding of federal and state labor laws, tax regulations, and wage & hour requirements
  • Experience with HRIS/payroll systems (Paycom strongly preferred)
  • High proficiency with computers and in Microsoft Excel and other Microsoft 365 apps
  • Comfortable working with large data sets, identifying trends, reconciling discrepancies, and generating reports
  • Strong analytical and problem-solving skills with a high level of accuracy and attention to detail
  • Excellent communication skills, especially when explaining payroll and benefits information to employees
  • Ability to handle sensitive and confidential information with discretion
  • Professional certification, such as FPC, CPP, aPHR, PHR, SHRM-CP, is a plus
  • Ability to travel periodically (not to exceed 25%) to attend meetings and/or support managers across our tri-state footprint
