About the role
- The Payroll & Benefits Administrator ensures accurate and compliant payroll processing and benefits administration as the primary point of contact for employee payroll and benefits inquiries. Resolves issues professionally and in a timely manner, partnering closely with Accounting and HR to support employees and internal operations.
What you'll do
Payroll Administration
- Manage end-to-end weekly payroll cycles, including coordination with HR Generalists to ensure all payroll inputs are reviewed, approved, and accurately processed
- Ensure accurate calculations and withholding of payroll taxes, benefits deductions, garnishments, and other withholdings
- Enter appropriate deductions as needed
- Reconcile payroll reports to the general ledger and assist with month-end accruals and payroll clearing accounts
- Coordinate payroll tax filings, W-2s, and year-end reporting with payroll providers
- Maintain payroll records in compliance with record-retention requirements
Benefits Administration
- Administer employee benefit programs (medical, dental, vision, life, disability, retirement), including updating rates and coordination with brokers, carriers, and plan administrators
- Manage new hire enrollments, life-event changes, and terminations
- Coordinate open enrollment activities and communications
- Reconcile benefit invoices and ensure deductions align with payroll
- Track employee eligibility, leaves of absence, and benefit status changes
Compliance & Controls
- Ensure compliance with applicable labor, payroll tax, and benefits regulations
- Support internal and external audits related to payroll and benefits
- Perform monthly reviews of payroll and benefit deductions, including investigation and correction of variances
- Support ongoing monitoring and improvement of payroll & benefit internal controls
Systems & Process Support
- Develop and maintain subject-matter expertise in the company’s HRIS and payroll systems, supporting data integrity, system administration, and continuous process improvement
- Support system implementations, upgrades, and process improvements
- Prepare payroll and benefits reports for management as needed
Qualifications
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field (or equivalent experience)
- 3+ years of payroll and/or benefits administration experience
- Strong interpersonal skills with the ability to work effectively with individuals across diverse backgrounds and functions
- Working knowledge of payroll tax regulations, employee benefits administration, and payroll/HRIS systems
- Strong attention to detail, ability to meet deadlines, and proficiency in Excel for reconciliations, variance analysis, and reporting
- High level of discretion and professionalism in handling confidential information
- Experience operating in a controlled payroll environment with documented review and approval processes
Preferred Qualifications
- Experience with Rippling workforce management system
- Experience supporting hourly, multi-location, high-volume payroll environments
- CPP (Certified Payroll Professional) or FPC certification
- Experience supporting audits or GAAP-based financial reporting
- Knowledge of federal/state tax and benefits regulations
