Data Entry & Research Specialist

About the Role
We are seeking a highly detail-oriented and proactive Data Entry & Research Specialist to join our team. The ideal candidate will not only have exceptional data entry skills but will also demonstrate the ability to conduct research, manage proposal data, and maintain accuracy within our CRM system.
This position plays a vital role in supporting our Lighting Proposals Department, ensuring that all information entered and maintained is complete, accurate, and up to date.
Key Responsibilities
Data Entry & Accuracy
Enter, update, and maintain proposal and client information in the CRM system.
Ensure all records, pricing, and product details for lighting fixtures are correctly captured and verified.
Maintain high accuracy and consistency across all data sources.
Data Research
Conduct research to source missing or incomplete data related to lighting proposals, vendors, or product specifications.
Verify and validate information through online databases, vendor catalogs, and internal documentation.
Support proposal creation with accurate and well-documented research findings.
Proposal Support
Assist in preparing and sending out proposals for lighting fixtures.
Collaborate with the proposals team to ensure all client requirements are reflected accurately in documentation.
Track proposal status and maintain up-to-date records in the CRM.
CRM Management
Maintain data integrity across all client and proposal entries.
Update follow-up activities, notes, and progress reports in the CRM.
Support reporting and analytics by ensuring data completeness.
Qualifications & Skills
Proven experience in data entry, data research, or administrative support (preferably in sales, procurement, or proposal environments).
Strong attention to detail and commitment to data accuracy.
Proficient in using CRM systems (experience with HubSpot, Salesforce, or similar preferred).
Solid research skills with the ability to verify and cross-check information.
Excellent communication and organizational skills.
Proficient in Microsoft Office Suite or Google Workspace.
Ability to work independently and manage time effectively during US business hours.
Preferred Experience
Prior exposure to lighting, construction, architecture, or interior design industries (advantageous but not required).
Experience supporting proposal or estimation teams.
