Job Summary: The Salesforce Administration Associate supports the organization's fundraising, donor stewardship, and development strategy by serving as the primary administrator for the Salesforce CRM platform. This position is responsible for Salesforce administration, donor data integrity, reporting and analytics, business process optimization, donation processing, and development operations. The role partners with Development, organizational leadership, and other GFN departments to ensure Salesforce effectively supports fundraising, donor engagement, stewardship, and organizational decision-making.

Duties and Responsibilities:

Salesforce Administration & CRM Management

  • Serve as the primary Salesforce administrator for the Development team, ensuring optimal system performance, usability, and security.
  • Configure and maintain Salesforce objects, fields, page layouts, validation rules, record types, workflows, flows, dashboards, reports, and user permissions.
  • Manage user accounts, profiles, permission sets, roles, and security settings.
  • Maintain Salesforce data standards, governance, and documentation.
  • Evaluate, test, and implement Salesforce enhancements, new features, and third-party integrations.
  • Provide Salesforce training, user support, troubleshooting, and best practices for staff.
  • Partner with stakeholders to identify opportunities to improve business processes through Salesforce automation and system enhancements.

Data Management & Reporting

  • Manage and maintain donor, constituent, gift, and fundraising records within Salesforce.
  • Ensure the accuracy, completeness, and integrity of donor data through ongoing audits, data cleansing, deduplication, and quality assurance.
  • Develop, maintain, automate, and distribute reports and dashboards supporting fundraising performance, donor engagement, campaign effectiveness, pipeline management, and revenue forecasting.
  • Produce on-demand portfolio, campaign, and leadership reports.
  • Analyze fundraising and donor trends to support strategic decision-making.

Donation Processing

  • Process and record gifts accurately and timely within Salesforce.
  • Issue gift acknowledgements, tax receipts, and donor communications.
  • Coordinate with the Finance Department to reconcile gifts, pledges, and financial records while ensuring compliance with organizational policies.

Donor Stewardship

  • Support implementation of donor stewardship strategies through Salesforce tracking and reporting.
  • Coordinate personalized acknowledgements, stewardship letters, newsletters, and donor communications.
  • Maintain stewardship calendars, reminders, and engagement tracking within Salesforce.

Fundraising & Event Support

  • Support fundraising campaigns and special events by managing registrations, RSVPs, attendee communications, and event reporting.
  • Build event reports, donor lists, and post-event analytics.
  • Assist with campaign tracking and performance measurement within Salesforce.

Communication & Marketing Support

  • Collaborate with Communications & Marketing to maintain consistent donor messaging and branding.
  • Support email marketing initiatives through Salesforce and Account Engagement.
  • Manage donor segmentation, mailing lists, communication preferences, and campaign reporting.
  • Coordinate donor surveys and analyze engagement results.
