Education and Experience:
Minimum Education: High School Diploma or Equivalent, AA/AS preferred
Minimum Experience: 1-3 years, preferably in an office environment or school/program-based educational setting
General Definition:
The Student Services Support Secretary provides administrative support shared across Student Services Supervisors. This individual performs office duties that contribute to the efficient operation of the Student Services offices at the WIU. This position regularly interacts with the public, the WIU staff, and professional educators and requires discretion in the handling of confidential information.
Description of Duties: - Compiles data as necessary to prepare and maintain all forms, manuals, pamphlets, and resource packets for members of the nonpublic evaluation team, Training and Consultation (TaC) Team, principals, teachers, and parents.
- Maintains e-filing system for all evaluations completed by nonpublic evaluation team.
- Meets all deadlines related to generation of paperwork for initial and reevaluations to maintain program compliance with all Equitable Participation timelines.
- Creates and maintains spreadsheets used to keep data for all nonpublic school grants and programs
- Interfaces and know how to edit system details in grant application portals (e.g. eGrants, PCCD)
- Interfaces with nonpublic school principals and vendors to collect and process quotes and generates purchase orders using WIU electronic portals
- Co-leads meetings regarding update on nonpublic school grants
- Establishes and maintains relationships with vendors necessary for nonpublic school programming
- Prepares and designs e-marketing materials for distribution (e.g. Constant Contact) and maintains registration for stakeholders who participate in Student Services programming
- Processes postage for the programming utilizing the postage meter machine
- Processes major copy projects for the Student Services offices
- Supports clerical functions for Training and Consultation (TaC) and nonpublic school programs
- Provides clerical support to the Local Task Force
- Maintains supply list for Youth Mental Health First Aid, orders supplies, and assist with meeting set up
- Participates in weekly meetings for nonpublic school programming and the Training and Consultation (TaC) team.
- Assists with data collection for tasks and projects associated with IEPWriter and School-Based ACCESS Program (SBAP) billing
- Performs other duties as assigned by the Executive Director or designee
