Workday Business Process & Security Administrator

BASIC FUNCTION

The Workday Business Process and Security Administrator is responsible for configuring, maintaining, and optimizing business processes within the Workday Human Capital Management (HCM) and/or Financials platform. This role ensures that workflows align with organizational policies, compliance requirements, and operational efficiency. The administrator will collaborate with HR, Finance, IT, and other stakeholders to support system functionality, troubleshoot issues, and implement enhancements. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Configure and maintain and optimize Workday business processes across HCM and/or Financials, including approval chains, condition rules, validations, notifications and routing logic.
  • Evaluate existing workflows and partner with functional stakeholders to redesign processes that improve efficiency, compliance, and user experience.
  • Monitor, troubleshoot, and resolve business process errors, alerts, and escalations, ensuring timely resolution and root‑cause analysis.
  • Assess the downstream and cross‑module impacts of proposed configuration changes and system updates.
  • Design, implement, and maintain tenant‑wide security architecture, including role‑based access, security groups, business process security policies, and domain permissions.
  • Manage user provisioning and de‑provisioning processes in alignment with job responsibilities, separation procedures, and internal controls.
  • Conduct regular audits of security roles and access to ensure compliance with institutional policy, regulatory requirements, and audit standards.
  • Evaluate security implications of Workday releases, new features, and configuration changes, recommending mitigation strategies as needed.
  • Design, build, and maintain custom reports, dashboards, and calculated fields to support operational and strategic decision‑making.
  • Ensure data governance standards are upheld across business processes, reporting, and security configurations.
  • Develop and maintain technical documentation, configuration records, and process artifacts to support audit readiness and knowledge transfer.
  • Lead and support testing for Workday feature releases, patches, and enhancements, including regression testing and documentation of impacts.
  • Create and deliver training materials and targeted guidance for functional administrators and end users related to business processes and security.
  • Perform other duties as assigned.

Reports to Manager of Enterprise Applications.

SUPERVISION EXERCISED

May provide project leadership, technical guidance, and functional oversight related to Workday initiatives; no direct staff supervision required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Information Systems, Computer Science, Business, Human Resources, Finance, or a related field, or an equivalent combination of education and experience.
  • Minimum of 2–4 years of progressively responsible experience in enterprise systems administration, ERP support, or business process management.
  • At least 2+ years of hands-on Workday experience with business process configuration and/or security administration.
  • Demonstrated experience managing role based security, business process frameworks, and internal controls in a complex organization.
  • Strong analytical, troubleshooting, documentation, and stakeholder communication skills.

PREFERRED QUALIFICATIONS

  • Master’s degree in a related field.
  • Workday certification(s) in HCM, Financials, Business Process Framework, or Security.
  • Experience supporting Workday reporting, calculated fields, and EIBs.
  • Experience in higher education, public sector, or unionized environments.
  • Familiarity with audit, compliance, and regulatory requirements affecting HR and Finance systems.

KNOWLEDGE, SKILLS, & ABILITIES

  • Ability to translate complex business requirements into scalable technical solutions.
  • Deep understanding of enterprise governance, data security, and process standardization.
  • Strong facilitation skills for cross functional working sessions and design discussions.‑functional working sessions and design discussions.
  • High attention to detail with the ability to balance risk, usability, and operational needs.
  • Ability to maintain confidentiality and exercise sound judgment.

Physical Requirements: Duties performed causes light fatigue of eyes, fingers, or other faculties as a result of repetitive motion and/or long periods of standing or sitting. Duties require little physical effort in work with light to moderate (up to 25lbs) easy-to-handle materials.

Working Conditions: Job is performed in general office or comparable working area with many frequent distractions such as noise and interruptions. Work schedules may vary during high volume periods.

Location and Funding:

This position can be based on any of the Vermont State Colleges System campuses.  Occasional travel within Vermont or other locations may be required. If hybrid, the incumbent must reside within a U.S State that the Vermont State Colleges System is registered to do business in.

Salary Information: Typically, this position is scheduled for 40 hours weekly. The budgeted wage for this position is $73,000 - $80,000 annually.
