Introduction

Fully remote role (South Africa-based)

Working hours: 10:00am – 6:00pm Sydney time
(1:00am – 9:00am South African time)

40 hours per week

Support the day-to-day operations of a growing buyer’s agency by handling admin, coordination, and communication tasks so the lead agent can stay focused on strategy, sourcing, and clients.

This is a detail-heavy, execution role. If systems, follow-ups, and keeping plates spinning is your thing, you will thrive here.

Duties & Responsibilities

Administration & Operations

  • Managing and organising invoicing
  • General CRM administration and data upkeep
  • Building & Pest (B&P) administration
  • Conveyancer coordination and admin
  • Sending exchanged contracts to brokers
  • Managing emails and inbox triage
  • Organising and sending client merch packs

 

Transaction & Deal Support

  • Organising pre-settlement inspections
  • Requesting and managing rental appraisals
  • Liaising with property managers
  • Coordinating communication with trades
  • Supporting post-exchange and pre-settlement processes

 

Client & Stakeholder Communication

  • Day-to-day client communications
  • Liaising with agents when required
  • Managing ongoing deal-related correspondence
  • Acting as a professional point of contact across transactions

 

Scheduling & Logistics

  • Calendar management
  • Coordinating travel arrangements
  • Keeping key dates, deadlines, and follow-ups on track

 

Market & Research Support

  • Preparing Comparative Market Analyses (CMA)
  • Assisting with admin tasks linked to deal evaluation and reporting

Desired Experience & Qualification

 

  • Previous experience in property administration, buyer’s agency support, conveyancing support, or real estate operations
  • Strong understanding of Australian property transactions (exchange, settlement, B&P, conveyancing workflows)
  • Experience working with CRMs and property-related systems
  • Excellent written and verbal English
  • High attention to detail and strong organisational skills
  • Ability to work independently in a remote environment
  • Reliable, high-speed internet connection
